Troubleshooting HRIS Feed Warning: "Manager '[Email]' is not a valid user"

When syncing employee data into Reflektive, you may see this warning:

[Warning] Manager '[manager_identifier]' is not a valid user.

This means an employee is assigned to a manager who does not have an active user profile in the sync file.

Why Did This Happen?

Reflektive checks that every manager listed in the manager_login column also exists in the user_login column.

Common causes include:

  • A typo: The manager's username or email was misspelled in the employee's profile.
  • Missing from the file: The manager is excluded from the sync feed due to export filters (e.g., department, contractor, or executive rules).
  • Onboarding order: The employee was added to the feed before the manager's account was created.

How to Fix It

  1. Check for Typos
  2. Review the manager's identifier in your HRIS to confirm the spelling matches their actual account.
  3. Verify the Manager is in the Feed file

Make sure the manager's account is active and included in the user_login column of your sync file.
