The release notes outline new features, updates, and improvements to Reflektive. These features are available to test on your demo accounts starting July 20, 2022, and will be released to production on August 3, 2022.

General Availability
Teams
1. Targeting Team Members
Administrators can now target members of teams based on custom attributes.
- Multiple filters can be defined by selecting the field and then selecting the value for the field.
- All rules will be Include / Exclude and combinations of rules will be OR / AND.
- As filters are updated, the count of employees is shown dynamically.
Who does this affect?
This enhancement will be available by default and is of interest to administrators.
Why the update?
This enhancement allows administrators to target members of teams based on filters created with custom attributes.
Reviews
2. Team Goals Added to Reviews
Employees can now be evaluated on their team goals, similar to how they are evaluated on their individual goals. This applies to all review types (Performance Review, 360 Review, and Check-in) and goal types.
- You can apply team goals filter based on status, timeframe, and category.
- Team goals are pulled into manager review and self review form only.
- Overall summary and Competencies will not group team goal rating scores and business employee goals rating scores.
- Employee's team goals will be locked in the review form once the cycle is launched, and any changes to the team goals after that will not be reflected in the review.
- Team goals question and responses will surface in reviews contextual side panel, reporting (People Intelligence and classic reports) and calibration in rich profile view.
Who does this affect?
This enhancement will be available by default and is of interest to Reviews administrators, who can enable the team goals evaluation setting in the review cycle builder setup.
Why the update?
So that employees can be evaluated on their team goals as well as their individual goals.
3. Conditional Manager Reviews
You can now conditionally determine which managers receive upwards reviews based on your organization's business rules.
Who does this affect?
This enhancement was previously released (available by request) and will now be available by default to all customers. It is of interest to Reviews administrators, who can configure it in the review cycle builder setup.
Why the update?
This enhancement allows administrators to conditionally withhold upwards review forms from managers based on criteria such as excluding managers hired after a specific date.
4. Conditionally Required Comments
Reviews administrators can now require comments for some reviews questions depending on the rating provided by the reviewer, so that reviewers are forced to provide more details on certain ratings.
- Applies to ratings and multiple choice answer types only.
- If comments are not required based on the reviewer's answer, the Comments box will not appear.
- Ability to specify minimum and maximum number of characters in the Comments field.
- We will not freeze conditional comments rules at time of launch.
- No changes made to People Intelligence.
- This enhancement is not applied to individual goal questions.
Who does this affect?
This enhancement was previously released (available by request) and will now be available by default to all customers. It is of interest to Reviews administrators, who can configure it in the review cycle builder setup.
Why the update?
This enhancement allows administrators to collect additional information about certain ratings.
5. 360 Review Attribution Rules
Reviews administrators now have the ability to have different attribution settings for employee and employee's manager by form type (peer vs. upwards) in a single cycle. These attribution rules do not apply to manager / downward forms and are only available for 360 Review cycles.
Who does this affect?
This enhancement was previously released (available by request) and will now be available by default to all customers. It is of interest to Reviews administrators, who can configure it in the review cycle builder setup.
Why the update?
This enhancement allows administrators to configure upward and peer reviews with different anonymity settings.
6. Help information on Review Submission Forms
Review forms now include help text at the bottom of the form, telling the user what will happen once the form is submitted.
Who does this affect?
This enhancement will be available by default and will be of help to all review providers.
Why the update?
This enhancement gives review providers confidence in what will happen once they submit their review.
7. Lock Individual Goal and Team Goal Questions in Reviews
A lock icon has been added to individual goal and team goal questions in step 3 of the review builder, similar to what we can do today for other questions.
Who does this affect?
This enhancement is already available and is of interest to review administrators.
Why the update?
This enhancement gives review administrators the option to lock individual goal and team goal questions so that employees and their managers cannot edit responses to the goal-based questions, similar to how we can lock other questions.
Goals
8. Improved User Experience when Creating an Aligned Goal
We have cut down the number of steps needed for a user to create an aligned goal so that employees no longer have to click through several screens.
Who does this affect?
This enhancement is already available and is of help to customers with the Goals module enabled.
Why the update?
Previously, the process for setting and aligning a goal required several steps. This enhancement makes it easier to create an aligned goal.
9. Search Bar Added to People Side Panel
An employee search bar has been added to the Goals People Side Panel to view employee goals. This allows users to easily locate the goals of employees that are saved to the People Side Panel of the goals page.
Who does this affect?
This enhancement is already available and is of help to Goals customers.
Why the update?
This enhancement makes it easier for a manager that has many direct reports to locate a given employee in the side panel in order to view their goals.
10. Linking Key Result Progress to Key Result Status
Marking Key Result Progress as Complete will now automatically update the Key Result Status to Complete as well.
- If the Key Result Progress is Complete or 100%, then the Key Result Status will automatically change to Complete Status.
- If the Key Result Status is Complete and the Key Result Progress is Complete, the user can only update the Key Result Status to Archived Status.
- If the Key Result Progress is changed to Incomplete or less than 100%, then the Key Result Status will automatically change to Active Status. Users can change the Key Result Active Status (but not to Complete).
This enhancement applies to the following goal types:
- OKR with measurements
- Checkboxes with no completion
- Checkboxes with user completion
- Weighted: OKR with measurements
- Weighted: Checkboxes with user completion
This does not apply to the following goals:
- Description with no completion
- Description with user completion
- Weighted: Description with user completion
Note: This change is only applied to the key results, and not to the parent goal which the key results roll up to.
Who does this affect?
This enhancement will be available by request and will be of help to Goals customers that use the above goal types.
Why the update?
This helps enforce accurate reporting, as users no longer need to separately update the status when a goal's key result progress has been marked complete.
Feedback and Recognition
11. API Enhancements
The following API enhancements have been made:
- HTML has been stripped from feedback_text and answer fields in /feedbacks
- Filter /feedbacks response by feedback_type (all, recognition, unsolicited feedback, requested feedback)
- Filter /feedbacks and /real_time_feedbacks response by updated_before and updated_after
- Filter /feedbacks response by status (to do, saved, declined, submitted)
Who does this affect?
This enhancement is already available and is of use to customers that integrate with Reflektive via API.
Why the update?
This enhancement makes it easier to process the outputs from Reflektive APIs.
12. Feedback 2021 UI/UX Improvements
The following user interface and user experience (UI/UX) enhancements have been made to Feedback 2021:
- Explicit From/For labels
- Improved word wrapping in feedback feeds
- Reduced number of avatars
- “Edited” indicator where a post has been edited after sharing
- Feedback feed filters reset on visiting new feedback feed
- Collapse/expand for feedback comments
- Feedback 2021 experience extended to home page
- Warning when exiting feedback initiation before submitting
- Recognition character limit applied to feedback also
Who does this affect?
This is already available and is of interest to customers with Feedback 2021.
Why the update?
These enhancements improve the user experience for customers with Feedback 2021.
13. Embedded Recognition Wall
We have added a new embeddable Recognition wall to replace the older embedded functionality, which stopped working due to changes in browser security protocols.
Who does this affect?
This is already available and is of interest to customers integrating Reflektive into other applications and websites.
Why the update?
This enhancement allows customers to expose elements of recognition and feedback outside of the Reflektive application.
14. Rewards: Monitoring the Number of Redemptions by a Single Employee
An email message will be sent to Reflektive Support when the number of redemptions by a single employee exceeds a given threshold. The rewards will still be redeemed. The threshold defaults to 5 redemptions and can be customized by contacting a Reflektive representative.
Who does this affect?
This enhancement is already available and is of interest to customers that use Rewards.
Why the update?
This enhancement helps us to detect fraudulent Rewards activity.
15. Rewards: Monitoring the Value of Individual Redemptions
An email message will be sent to Reflektive Support when the cash value of a redemption exceeds a given threshold. The rewards will still be redeemed. The threshold defaults to $100 US dollars and can be customized by contacting a Reflektive representative.
Who does this affect?
This enhancement is already available and is of interest to customers that use Rewards.
Why the update?
This enhancement helps us to detect fraudulent Rewards activity.
16. Rewards: Blocking of Redemptions if Insufficient Funds
Reflective now has a balance of rewards points with our rewards providers, below which rewards redemptions are blocked.
Who does this affect?
This enhancement is already available and is of interest to customers that use Rewards.
Why the update?
This enhancement ensures that Reflektive point deductions and provider rewards redemptions are in sync, which will prevent back-end problems.
Product Foundations
17. Role Based Access Controls
A new Permissions area in the Admin menu allows customers to tailor the exposure of functions and data to their managers and administrators through roles. Roles can be assigned to individual users, or targeted to departments, locations, positions, or teams.
If this is enabled, customer administrators will see a new Permissions group in the Admin menu, containing Module Access, Roles, and Company Admins.
- Company Admins can configure module access (existing feature) and roles, which replaces the admin permission groups.
- The Roles page allows admins to create roles, delete roles, open roles for viewing/editing, and change role statuses. For existing customers, there will be some roles already created and pre-populated with permissions from the matrix and legacy admin permission groups.
- To make it easier to phase role changes in, roles can be set to “Draft”, “Archived”, or “Active”. Only roles with an “Active” status will be considered when calculating permissions.
- You can assign roles in the User Targeting Rules section. You can select “All Employees” or define some custom targeting criteria based on specific employees, department, location, position, or team.
- You can then add abilities to roles by selecting toggles for various available functions.
- Many functions are performed on data related to a selection of employees, and you can control how much data to expose. You can select from “All Employees”, “No Employees”, or “Custom” and define your own set. This data access will then be applied to all functions of this nature.
Who does this affect?
This will be available by request and will be of interest to customers that require custom permissions.
Why the update?
This feature allows customers to set security protocols requiring users to be granted access to specific functions and data that they need for their role and no more.
Note that Role Based Access Control, or RBAC, replaces admin permission groups, but any existing admin permission groups will be automatically carried over to the new RBAC roles.
18. Targeted User Search
We have added a search function to determine whether a specific individual will match a given set of user targeting rules. Returns “Not targeted” if the user does not match the targeting criteria or “Targeted” if they do. This is available in Module Access and Roles areas by clicking the Employee Count when specifying custom rules.
Who does this affect?
This enhancement is already available and is of use to any customer using user targeting rules, for example, when configuring Module Access or Role Based Access Control.
Why the update?
This enhancement assists administrators when they need to know if a specific user will be affected by the current configuration.
19. Prevent Admins from Proxying in to View their Own Review Feedback in Reviews Module
On the Reviews page, the proxied admin will see their own review (manager or peer review about them) but when they click their review or their final report they will see an error message saying they don't have permission to access this page.
Who does this affect?
This will be available upon request for all customers and will be of interest to customers whose administrators proxy in as their manager.
Why the update?
Proxy access is used for delegation purposes. For example, HRBPs and administrators with proxy access can proxy in as their manager to complete that manager's reviews of other employees. However, for compliance reasons, the proxied admin should not have access to view review feedback written about themselves.
People Intelligence
20. Allow Managers Full Access to their Entire Hierarchy in Reviews and Goals
Secondary and primary managers now have access to their full hierarchy in reporting for Goals and Reviews. For example, consider the following reporting structure:
- Emily is secondary manager to Jacob
- Jacob is primary manager to Ashok and secondary manager to Sanjay
- Ashok is primary manager to Hannah
- Hannah is primary manager to Madison
- Madison is secondary manager to Ashley
With this improvement, Emily can view Jacob, Ashok, Hannah, Sanjay, Madison, and Ashley's private/public goals in the Goals module and in reporting/PI. Emily can also view feedback about Jacob, Ashok, Hannah, Sanjay, Madison, and Ashley in the Reviews module and in reporting/People Intelligence.
Who does this affect?
This will be available upon request to any customer that enables the new People Intelligence module, and is of interest to secondary managers who want more visibility into their reporting structure.
Why the update?
Previously, there were certain visibility constraints placed for managers. For example, secondary managers could only see one level down for their secondary direct reports in People Intelligence. Now they have greater visibility into their reporting structure.
21. Report Templates
A set of Template Reports is now available for each report subject (such as Reviews, 1:1s, Feedback). When using the report creation user workflow, the second step now gives the option of starting with a template. Previous report templates were mixed in with the list of reports and it wasn't intuitive to tell them apart from other reports.
Who does this affect?
This will be available by default to any customer that enables the new People Intelligence module, and is of interest to any user with report creation permissions.
Why the update?
To aid report designers in the report creation process, template reports provide a starting point by including an initial data set and corresponding visualization, which can then be modified and saved as a new report with a new name.
22. Multiple KPIs in Group/Pivot
Pivot table reports are no longer limited to displaying a single summary or KPI value and can now include multiple summary or KPI fields in a single Pivot Report.
Who does this affect? This will be available by default to any customer that enables the new People Intelligence module, and is of interest to all users of reports.Why the update? Summary reporting often needs to look at a variety of statistics in order to glean the full picture associated with a given Performance Management process. Prior to this update, users were required to build individual reports for each desired summary value, then place multiple tables on a single dashboard. This was inefficient both in terms of time and manageability as well as the allocation of screen real estate for presenting the data. With this update, multiple summary fields can be incorporated into a single pivot table. |

22. Grouping Date Fields in Group and Pivot Reports
When using date fields for Grouping or Pivoting, you can now choose to group the values by Day, Week, Month, Quarter or Year.
When selecting any date field from the Group/Pivot field menu, a new flyout menu allows the user to indicate how to group the data.
Who does this affect? This will be automatically available by default to any customer that enables the new People Intelligence module, and is of interest to all users of reports and dashboards with permission to share.Why the update? Prior to this update, the display of Date/Time fields in a Grouping & Pivoting report would automatically be grouped by the unique value (often day+hour+minute), which is too granular for most analyses being performed. The new grouping option allows report designers and consumers to run comparisons by year, quarter, and so on. |

23. Editable Date Filters
When using filters to limit the data set based on a date field, you can now edit the date directly in the filter field (in addition to using the calendar control).
Who does this affect?
This will be available by default to any customer that enables the new People Intelligence module, and is of interest to users with report access permissions.
Why the update?
Prior to this update, data ranges could only be set using the calendar control, which often required extensive clicks to navigate one month at a time while setting the beginning and end dates. Now the dates can be edited directly in the date field if that's more convenient.
24. Show Empty Groups
A new toggle is available which allows the user to specify whether or not to include data in a grouped result set for values where the underlying KPI/Summary is empty or zero.
Who does this affect?
This will be available by default to any customer that enables the new People Intelligence module, and is of interest to any user with report access permissions.
Why the update?
Aggregating data consists of summarizing the records within the raw data set. In cases where there are no instances of a specific value (for example, no one in a specific department has set any goals, so there are no goals for that department), that value is left off of the result entirely. In cases where it is desirable to see where data does and doesn’t exist (for example, showing all departments where no employees have set any goals), it is desirable to force those values to show up and indicate that the underlying KPI/Summary is zero.
