Managing Secondary Managers Manually in Reflektive: An Admin Guide

In organizations with matrix reporting structures, project-based assignments, or cross-functional teams, employees frequently report to more than one supervisor. Reflektive accommodates this workflow through its Secondary Manager functionality.

While companies using an active HRIS integration often sync reporting lines automatically, organizations operating without an enabled HRIS sync can manage these relationships directly inside Reflektive. System administrators can assign, update, and remove secondary managers manually through the administrative portal.

What Is a Secondary Manager in Reflektive?

A secondary manager is an additional supervisor granted managerial oversight for an employee alongside their primary manager.

Once assigned, secondary managers gain key permissions across Reflektive modules:

  • Performance Reviews & Check-Ins: Complete manager-level assessment forms, approve or edit peer reviewer lists, and access submitted review responses for their direct reports.
  • Goals (OKRs): View an employee’s private goals, track progress, and create or edit objectives collaboratively.
  • 1-on-1s & Feedback: Conduct private 1:1 meetings, log notes, and exchange constructive feedback with their secondary direct reports.
  • Recognition: View and filter recognition history and track team-wide engagement on the My Team dashboard.

Step-by-Step: Adding or Updating Secondary Managers

When HRIS synchronization is disabled, all user profile attributes—including secondary reporting lines—are maintained manually by administrators.

Direct Profile Edit (Best for Individual Changes)

  1. Access the Admin Portal: Log in to Reflektive with administrator credentials and click the Admin tab in the navigation menu.
  1. Navigate to Employees: Under the people/user management menu, select Employees.
  1. Locate the Employee: Use the search bar to find the specific employee whose manager hierarchy needs updating.
  2. Edit Details: Click on the employee’s record (or the edit icon) to open their profile details.
  3. Assign the Secondary Manager: Locate the Secondary Manager field, search for the appropriate manager by name or email, select them, and save your changes.
