We'll be going over new features, updates, and improvements to Reflektive below. These features and fixes will be live as of October 27th, 2020. These features will be available to test on your Demo Accounts starting September 30th, 2020. General Availability means that all accounts can enable and use the features immediately, and Beta means that the features are rolled out to a selection of willing participants first before it is ready for General Availability. People Intelligence - Updates & Enhancements (General Availability)
Who does this affect?
Admins using the People Intelligence platform will enjoy these enhancements.
Why the update?
There are three updates in People Intelligence to to consider:
- New Teams Attribute Report
- New Conversations and Topics Reports (for 1:1 Conversations)
- New Users Report Type
We'll go more into depth below.
1. New Teams Attribute Report
Many Reflektive admins have wanted finer visibility into groups and teams within the company. With the new Teams Attributes report, you can quickly filter or group details that are pertinent to your search. The report is keyed on Team Name, and list out attributes of each team.
You can click on Add/Edit Columns to add more information to the chart.
As a refresher: to create the report, visit the People Intelligence tab. Then, on the left-hand menu, select Reports. Then, click on +New, and select Report. You can you can select Teams from the product dropdown, followed by Attributes of Teams from the report type dropdown. A table report will be created with filters and additional columns available to customize the data view.
Additionally, there is also a new Teams report: Percentage of Employees with Team Goals. This will provide a percentage of total employees that have at least one team goal assigned to them.
2. New Conversations and Topic Reports (for 1:1 Conversations)

Admins have a growing appetite for reporting on 1:1s as more and more users engage with our 1:1 Conversations platform. Prior to our Fall 2020 release, these were the reports that existed:
- Number of Active Manager / Direct Report Conversations
- Conversations Topics Breakdown
- Active Manager / Direct Report Conversations
In this release, there will be 5 new default reports in regards to Conversations and Topics, all of which are included under the existing default dashboard (Conversations Dashboard). You can also filter for them by selecting "Conversations" and "Topics" products within People Intelligence. The new reports include:
- New Conversations Reports
- Total Active Manager-Direct Report 1:1s (last 30 days)
- Active 1:1s by Department and Type (last 30 days)
- Recurring vs Non-recurring Active 1:1s by Department
- New Topics Reports
- Topic Categories Breakdown
- Average Topics per 1:1 by Department and Type
Data can be filtered and grouped to customize the data view and can be visualized as a number, bar graph, table, or pie chart. Additionally, date filter logic has been improved. The dashboard that combines many of the aforementioned reports can be seen below:
3. New User Reports Type
We've also included a new User Report type within People Intelligence. The following reports will now be available (these will also appear in the Conversations Dashboard, along with the aforementioned Conversations and Topics reports):
- Inactive Managers (last 30 days)
- Active vs Inactive Managers (last 30 days)
Engagement Surveys (General Availability)
Who does this affect?
Administrators who are using our Engagement Surveys module will enjoy these enhancements
Why the update?
There are three updates in our Engagement Surveys module to to consider:
- Continued Access to Survey information within People Intelligence
- Ability to modify the sender name on an Engagement Survey generated email
- New DEI (Diversity, Equity, Inclusion) Templates
1. Continued Access to Survey information within People Intelligence
Admins who previously had access to Engagement Surveys (through a trial, like our free COVID surveys) but who no longer do now will still be able to access reporting on survey results within People Intelligence.
We wanted to provide our customers with a smooth transitioning/end-of-access to Engagement Surveys module without losing access to their Surveys data. Moreover, customers will can self serve and retrieve any survey information themselves without contacting someone at Reflektive.
2. Ability to modify the sender name on a Engagement Survey generated email
The system-generated emails that accompany our Engagement Surveys module previously displayed in users' inboxes with a sender of "Reflektive". Now, the email sender will automatically default to your company name for better recognition amongst your employees. This customization helps employees quickly identify the origin of a survey, increasing participation.
If you wish to adjust the sender the of Engagement Survey emails that get sent to your employees, please reach out to your Customer Success representative, or our Support Team.
3. New DEI (Diversity, Equity, Inclusion) Templates
HR teams are busier with managing remote workforces, improving employee engagement, and planning for the next year. Because addressing inclusivity is also top-of-mind for many companies, we created these DEI templates to help them get a head start on these initiatives.
To support your DEI efforts, we have built a DEI Engagement Survey template, created in consultation with ReadySet, a high-touch boutique consulting firm specializing in making more human-centric, inclusive work environments. All our customers with access to Engagement Surveys entitlement will be able to use this new template.

Core Product / Foundation Enhancements (General Availability)
Who does this affect?
All our customers will enjoy this enhancement
Why the update?
While we're working on deeper core product enhancements, we've added expanded gender values.
New Gender Values on Employees
In support of the new DEI Surveys launch, we have expanded the list of Gender field values on the Employee Page. This will allow customers to define gender more accurately.
The options now are:
- Male
- Female
- Non-binary (new)
- Prefer not to say (new)
- Prefer to self-describe (new)
Reviews (General Availability)
Who does this affect?
All administrators will enjoy these enhancements.
Why the update?
To further iterate on our reviews experience, we're bringing you these six enhancements:
- Custom Targeting by Custom Attribute
- Multi-language Reviews in Builder and Survey Form
- "View and Deliver" Employee Reports After Cycle is Closed
- Ability to Delete Closed Review Cycles
- Review Stepper Enhancements
- Updated Slack Notifications for Reviews
1. Custom Targeting by Custom Attribute
In order to grant finer precision to question targeting within review cycles, review admins can now target questions by custom attribute using OR logic with other system or custom attributes.
You'll see the new targeting criteria appear next to the subheading 'This question appears when reviewing:' You can add several OR filters by clicking on +Add Filter.
Note: abilities to exclude, have user counts, and have step 4 participant targeting will arrive in a future release.
2. Multi-language Reviews in Builder and Survey Form
Building a review can get fairly complex, especially if you have employees contributing from various international locations with different language implementations. To better support global organization review processes, review admins can now add manual translations to individual review questions, which then can be dynamically targeted to end users based on their personal default language preferences.
Once you create a question, you can go back and edit it. You will see the Translate Questions toggle appear.
You then can select the language you want to translate the question into. This list is populated based on the available languages you have in your environment.
In additional to translating the question text, you can also edit rating scale fields or multiple choice options. After you save and exit, the question will automatically be translated when viewed by others who are set in a different default language. Viewing review reports will always default to the reviewee's language preferences in both .pdf and web formats.
Note: Currently, .csv uploads are not supported. You can only perform question translations within Reflektive.
3. "View and Deliver" Employee Reports After Cycle is Closed
Review admins now have the option to “View and Deliver” employee reports after a cycle is closed. This is separate from the bulk delivery option. This is helpful in situations where incomplete reviews were submitted in bulk, but need to be re-released/delivered to the person in question so that they are notified by the system.
As a review admin, hover over the (closed) review cycle in question and click on Manage.
Down the review tracker, hover over the person and click the ... link to reveal the View and Deliver option.
To ensure that this is the action you want to do, a confirmation modal appears. Click on Release Report to complete the action!
4. Ability to Delete Closed Review Cycles
Prior to this release, review admins were only able to delete cycles that were active or in draft status.
Now, admins can delete reviews regardless of the cycle status. Admins can now delete closed cycles in order to eliminate mistakes, clutter, or reviews that are no longer relevant to the company. Once review has been deleted, the review data will no longer live in People Intelligence and any legacy review reports, so be make sure that this is what you want to do.
To delete a review, simply go to the Admin tab, and Reviews under the Management subheading. Hover over the cycle you want to remove and click on the trash can icon.
A pop-up modal appears, allowing you to confirm that this is what you want to do.
5. Review Stepper Enhancements
In order to make reviews a more intuitive process for our end users, we've added additional visual contextual components to clearly define what relationships you have to the people you are reviewing, what responsibilities you have to them, and what sequence of actions you need to take within the review are.
In the above example, you see the reviewer entering in the 3rd step (fill out reviews) of a 360 review process. You will clearly see the person's relationship to you and what they have done (if you are their manager).
The additional context should alleviate problems suffered by managers with many reviewees in a review and should also alleviate problems suffered in matrixed organizations with many primary-secondary manager relationships. In the above example, you'll see someone at different stages of the review process with their direct reports. Since it is more clearly labeled, the user has a clearer picture of what they still need to do. You can also capitalize on Filters and filter by status, as well as relationship, which is especially helpful with managers who have numerous reports.
6. Updated Slack Notifications for Reviews
We wanted to better leverage our Slack integration by adding another layer of notifications to it that help keep users on task with actions they need to complete within Reflektive. Slack notifications now appear for reviewees when nudged by admins, and for managers when their direct reports submit/edit their check-in or review. This helps with accountability by driving up completion rates, as more and more companies are having their workflows embedded and time spent within Slack.
If the Slack integration has been activated for your account, admins will see a check-box (Also send reminder by Slack) when composing nudge emails for review cycles.
Managers receive notifications when their employees submit their reviews, or make edits to them.
Feedback Beta (Beta/Gradual Release)
Who does this affect?
Customers already using the Feedback beta will enjoy these enhancements. If you want to use the Feedback beta, please consult with your Reflektive contact.
Why the update?
In an effort to continue making our Feedback Beta tool have more utility and insights for our admins and users, we're adding the following two features:
- Self-Service Feedback Classic Reports
- Questions in Feedback Manage Page
1. Self-Service Feedback Classic Reports
Feedback has seen a lot of growth and usage since it's come out on beta. Our customers want the ability to report on their own Feedback programs, as well as deeper analysis. Until we can fully realize a robust reporting system within People Intelligence, we'll have classic style Feedback reports available under the Admin tab, and under the Management menu, and then Reports.
After selecting the All Constructive Feedback Report from the select a report dropdown, you can Email CSV to receive your report via email.
Within the downloaded .csv, the available fields include:
- Feedback type(s) on both unsolicited and requests
- Time requested
- Feedback request ID
- Feedback provided ID
- Request status
- Request type
- Feedback requestor
- Relationship to feedback receiver
- Feedback title
- Feedback receiver
- Job title
- Department
- Location
- Feedback provider
- Relationship to feedback receiver
- Job title
- Department
- Location
- Question order Question
- Feedback provided
- Time provided

2. Questions in Feedback Manage Page
We wanted to give Feedback users as much context as possible, especially for feedback initiators/requesters on what was requested, on individual feedback requests management pages.
The Questions Asked section helps keep things clear on what the asks were.
Conversation Starter Templates (for 1:1s) (Beta/Gradual Release)
Who does this affect?
Customers using 1:1 Conversations can enjoy these enhancements if they choose to opt in to them.
Why the update?
Our default conversation starter templates are a great place to have your employs engage with one another in a meaningful way. However, each organization has specificity and nuances that our templates can't cover. In order to address this, we've added the ability for admins to self-service and create and manage custom conversation starter templates for their employees for employees to surface.
To create your own template, go to the Admin tab, and under Management, click 1:1s. Then, click on the +Create Template. It will launch a modal that walks you through what you need to do.
In Step 1, you write in the title and description. Below that, you can add some targeting (with some nuances):
- Targeting can be defined by location, department, and position (no custom attributes supported at this time) and manager vs direct report vs peer.
- Templates become surfaceable for end-users in the 1:1s page
- Within each template, end users can pick and choose questions to bring into their 1:1s
In Step 2, you simply add your questions, and select its availability.
Once completed and saved, you'll see your template and its attributes appear on the Conversation Starter Templates tab. You can change its availability, edit it, clone it, or delete it.
Microsoft Teams on AppSource (Beta/Gradual Release)
Who does this affect?
Any customer who would like to use the Microsoft Teams integration may do so (Admins & IT Teams have the largest stake in making this happen.)
Why the update?
Installing the Microsoft Teams integration was previously a multi-step process that was fairly manual, often involving someone from the Reflektive side to support. Now, since it will be coming directly from the Microsoft AppSource store, installations now have proper certification and validation done with Microsoft policies in place, enabling broader access and ease for admins and IT personnel to deploy this integration. Desktop Outlook Plugin 2.3.1 and Outlook 365 Migration (Beta/Gradual Release)
Who does this affect?
Customers who are using either the Outlook 365 (O365) and existing Outlook desktop plugins should look into upgrading their versions for better support and usability. For more information on how to accomplish this, please visit this article.
Why the update?
There are two upgrade streams to consider (you can refer to the below tree image, and looking down the Microsoft Outlook side of the branch):
- Outlook 365 should be your default option, if that is a possibility within your organization. This version is generally stable and the standard for where the industry is going, so there will be better support and updates from both Reflektive's side, as well as Microsoft's side.
- The Outlook Desktop Plugin still sees a fairly significant amount of usage, but it's become increasingly evident that Microsoft will be easing back on supporting its Desktop applications. Thus, it's imperative that we have our customers using older versions of our Outlook Desktop Plugin to upgrade to the latest version (v2.3.1). It's strongly recommended that IT teams centrally deploy the software, but one-off installations can be done by visiting our download page.
