People Intelligence - Updates & Enhancements (General Availability)
Who does this affect?
Admins using the People Intelligence platform will enjoy these enhancements.
Why the update?
There are four updates in People Intelligence to to consider:
- Admins have more control over Default Report & Dashboard visibility. Also their default visibility is now more conservative. (existing customers can OPT-IN to this feature)
- New ability to report on goals based on whether the goal was created by cascading
- Two new reports added for the "legacy" Request Feedback tool
- Better data visualization/interactivity with reports with high density data
We'll go more into depth below.
1. Default Report Visibility (existing customers can OPT-IN to this feature)
Many Reflektive admins have wanted finer control on what dashboards and reports are visible to their managers. Admins can create dashboards and reports and choose to Share these with managers, but those managers would also automatically see the many default dashboards and reports. Now, Admins can define which dashboards and reports are shared with managers (Sharing still is all or nothing at this time, where all Shared dashboards or reports are visible to any manager with access to People Intelligence).
As a refresher: to access the default reports, visit the People Intelligence tab. Then, on the left-hand menu, select Reports. Then select the Private tab. You'll see all the default reports/dashboards which will now be visible to Admins only.
Admins will have to clone the default report or dashboard first before sharing it with managers.
2. Ability to Report on Cascaded Goals
Admins harnessing our updated Goals experience wanted to see deeper data in regards to goal setting and goal adoption. The goal cascading feature is a powerful tool, and to report on that would provide admins valuable insights into how goals are being disseminated across the organization. To report on cascaded goals, you can select goals related reports, such as "Active Goals", "Completed Goals", "Percentage of Employees with Goals" and more, and then Add Filter. Search for the filter "Is goal cascaded" and then select True.
In additional to the filters, you can also break down cascaded goals with groupings instead of a general filter.
3. New Reports for "legacy" Request Feedback
Our legacy Request Feedback tool allows people to solicit public or constructive feedback from others within their company. We've expanded our reporting on this tool with two new report templates: one for measuring the % of employees requesting feedback and one for the % of employees responding to feedback.
4. Better Data Visualization/Interactivity with Reports with High Density Data
When looking at bar charts with a high number of groupings within a report, the data can get too busy to be helpful.
Now, you can manipulate the visualization directly by using your mouse-scroll (up to zoom in, down to zoom out). You can also click and drag left and right to see the entire data set. This makes viewing the data more clear as you navigate larger and larger pools of information.
Engagement Surveys (General Availability)
Who does this affect?
Admins who have Engagement Surveys in their Reflektive instance can enjoy these enhancements
Why the update?
There are two updates within our Engagement Surveys product to consider:
- Self-Service Admin Permissions
- Support for Text Translations
1. Self-Service Admin Permissions
Previously, survey admins had the ability to see ALL data within surveys, which could lead to privacy concerns depending on the survey. Now, super admins who have access to managing admin permissions will have self-service permissions that allow them to restrict which employees (other than themselves) can see survey responses within the People Intelligence platform.
2. Support for Text Translations
Surveys form pages are now available for text translations (elements of the form that we previously didn't offer customization now do). This will help admins better localize survey content for their employees. There are notable exclusions to what you can translate, due to the text being dynamically rendered:
- User-generated content, including questions and rating labels
- Dropdown values
- Popup content
- Some labels on the Buildup page and column names in the list view page
- Surveys response pages
Core Product / Foundation Enhancements (General Availability)
Who does this affect?
All administrators will enjoy these enhancements.
Why the update?
In an effort to improve our core experience and expand usability to both or admins and end users, we've developed these three enhancements:
- Unsubscribe Email Confirmation Step
- Module Access Permissions (existing customers can OPT-IN to this feature)
- Non-Email Login (via SSO)
1. Unsubscribe Email Confirmation Step - (All Customers)
Prior to this release, if a use clicks "unsubscribe" in the email body, they will be automatically unsubscribed. Now, users will see a "confirm" button that they will need to click in order to unsubscribe. This will prevent unintended unsubscribes to happen (whether by user-error, or through a bot), which a user cannot undo without intervention from a Reflektive agent.
2. Module Access Permissions - (existing customers can OPT-IN to this feature)
Prior to this release, Admins had to rely on a Reflektive representative to grant/remove module access to individuals, teams, and departments to the Goals, Recognition, or 1:1 modules from our back-end. Now, admins can control this themselves through the Admin tab, making the experience far more self-service and instant.
You can find the tool under the Admin tab on the top right. Then on the left-hand menu, look under the People sub-section to find Permissions. On that page, click on the Module Access sub-tab.
Once there, you can use the tools to add or exclude users to your liking. Don't forget to save changes!
3. Non-Email Access via SSO (requires setup)
Some companies out there have employees that aren't required to have an email address - Reflektive can now accommodate those business models, so long as they have a Single Sign-On (SSO) provider.
At a high level, the customer would send Reflektive a list of users via a .csv file (with the login_name that the individual would use as their login credentials). Please contact your Reflektive representative to get started on setting things up for your company if you need it.
Presuming that your organization has all your employees already setup on your SSO service (which should include their user name and password already stored on that platform), the employee would simply login starting a custom URL (which your Reflektive contact will provide to you) similar to this one: https://www.reflektive.com/app?company_name=(yourcompanyname) instead of the traditional https://www.reflektive.com/app.
Clicking on Log in with Single Sign-on will redirect users to their SSO provider's login page, where they can put in their login name and password.
*Your company's SSO login page may differ in appearance.
1:1 Conversations (General Availability)
Who does this affect?
All administrators will enjoy these enhancements.
Why the update?
We've received feedback into how powerful our 1:1s tool is facilitating better relationships and alignment between people, and we wanted to further develop the experience to further serve that purpose with these seven improvements.
- Update to Recurring Conversations Behavior
- Discussed Topic Search
- Action Items - Sticky Header
- Action Items - Digest Email
- Pagination on Discussed Topics
- Rich Text Editing on Conversations
- Conversations Polling on 1:1s Page
1. Update to Recurring Conversations Behavior
If a user removes a peer from their conversations list within 1:1’s module, the related recurring meeting will be removed as a result of that action. When that peer is added back to the list, the recurring meeting will no longer exist. Prior to this release, the user would continue to receive notifications for that meeting even though that peer no longer appears on the users list.
2. Discussed Topic Search
Now, you are able to search for discussed topics using a search bar at the top of your Discussed Topics section of the 1:1s page. This includes comments content. This allows you to easily find what you are looking, especially after you've accumulated a long list of discussed topics.
3. Action Items - Sticky Header
Users will now always have access to Actions within the 1:1s page even as they scroll down to view topics that are out-of-view. In the first screenshot, you'll see the actions on top, as well as the immediate action items listed below.
If you scroll down, the action item list turns into a button, and gets folded with the other actions. The bar stays on top.
4. Digest Email
Customers can now include action items within existing 1:1s emails currently sent from Reflektive to end users in advance of 1:1s. By including action items in these reminder emails, important action steps are top-of-mind -- even outside of the Reflektive platform. Note: This feature can be enabled at the company-level only.
5. Pagination on discussed topics
Instead of loading a large list of discussed topics (which can take more time/data to load), you'll see a shorter list and a pagination links to load additional topics, keeping the experience lighter and more user friendly.
6. Rich Text Editing on Comments of 1:1s
The user can now rich text within the comments field within 1:1s. The comments field text can be edited now by clicking the edit icon.
The toolbar allows you to do the following:
- Bold
- Italic
- Underline
- Bullets
- Numbering
- Hyperlink
7. Conversations Polling
1:1s can be often be an interactive 2-way street, where both participants may be updating or modifying items concurrently. In order to reduce confusion when it comes to live updates and unintentional crossovers from happening, a banner will pop up to alert the user of changes applied to the page they are viewing if:
- A new topic was added, edited, deleted, or marked as discussed
- Comments have been added or edited
The system automatically checks every few seconds to see if any changes have been made and will create that pop-up if something does change.
Reviews (General Availability)
Who does this affect?
All administrators will enjoy these enhancements.
Why the update?
To further iterate on our reviews experience, we're bringing you these three enhancements:
- Consistent Labeling and Summary Logic for Performance Reviews (180) & Check-Ins
- External API Enhancements
- Edit Multiple Choice / Dropdown Question Answer Labels
Consistent Labeling and Summary Logic for Performance Reviews (180) & Check-Ins
We've updated the label within the review Summary page from "Average Score" → "Manager Score" on 180 Performance Reviews/Check-Ins when ONLY the manager has given a rating. This removes any ambiguity to where the rating is coming from.
2. External API enhancements
API users often work closely with sets of data, so they enjoy extracting deeper insights from what they can surface. Now, API users can get information at a report level (instead of just the question level). At the report level, information is organized by question with answer, comment, and reviewer meta data underneath. View our updated API documentation here.
3. Edit Multiple Choice / Dropdown Question Answer Labels (must opt-in to this feature)
Review cycle administrators will now be able to edit multiple choice, rating scale, and dropdown answer labels AFTER the review cycle has launched. Go to Step 2 of the Review Builder tool to change the answer labels.
Goals (General Availability)
Who does this affect?
Customers using the Goals platform would enjoy these enhancements.
Why the update?
In an effort to continue making our Goals tool more user friendly and intuitive to use, we're adding these five enhancements:
- Key Results Pagination & Optimization
- Persistent Alignment Icon
- Enhanced Goal Alignment Tree
- Ability to Cascade KRs
1. Key Results Pagination & Optimization
Objectives that have more than 10 Key Results (KRs) will now be paginated. Additionally, top-level objectives are loaded first, and KRs will only load once a user expands on an objective. Both of these will improve performance and usability across the Goals platform.
2. Persistent Alignment Icon
Goals that are aligned to another have an icon associated with it. Now, this icon will persist within a goals list so that a user doesn't have to hover over to see the alignment icon.
3. Enhanced Goal Alignment Tree & Statuses
We've also improved how we visualize goals when presented in a tree format. The alignment labels will now mirror what you see on the goals list/table. To get to the Goal Alignment Tree, click on the View Alignment.
From here, click on the Expand button.
The Goal Alignment Tree will appear. You will be able to see completion rates, descriptions, and how the goals align up or down with others. We've also added labels that show status: Active, On-Hold, Complete, and Incomplete.
4. Ability to Cascade KRs
Cascading objectives with KRs will now also cascade the KRs to the recipient. This will apply to all places where cascaded goals appear: Reviews, Plugins, and Profiles. Doing so will allow those who do the cascading more fleshed out directions for the recipient, and less data inputting from the cascadees if they need to clarify what they are responsible for within a goal.
As a refresher: when cascading a goal, click on the ... icon, and select the Cascade option.
Select the Departments, Locations, Positions, or Employees you want to receive the Goal/KRs.
Feedback Beta (Beta/Gradual Release)
Who does this affect?
Customers already using the Feedback beta will enjoy these enhancements. If you want to use the Feedback beta, please consult with your Reflektive contact.
Why the update?
In an effort to continue making our Feedback Beta tool have more visibility across our platform and increased usability for users, we're adding these two enhancements:
- Feedback Requests show up in Review Side Panel with Filter
- Ability to Delete Feedback Requests
1. Feedback Requests show up in Review Side Panel with Filter
Feedback is another valuable way for a reviewer to obtain additional context on the person they're evaluating. By having them accessible in the right-hand panel within a review, you are able to have a richer picture.
You can now filter which type of feedback you'd like to see from whom in the right-hand panel within a review. Click the Filters button, and apply the ones you'd like.
2. Ability to Delete Feedback Requests
To make things easier to manage within the Feedback request workflow, we're adding a delete function to help users remedy mistakes or context changes. Now, each open feedback request will have a Delete Request icon when you hover over that request. Clicking it will show a pop-up warning the user that this will delete any received feedback and prevent anyone else from providing feedback. After the user confirms the delete, all users who previously requested to provide feedback should no longer see it on the list.
Reviews (Beta/Gradual Release)
Who does this affect?
Customers using Reviews can enjoy these enhancements if they choose to opt in to them.
Why the update?
In an effort to continue making our Review tool easier to use for both our admins and end users, please consider these two enhancements:
- Review Stepper Enhancements
- Slack Notification for Nudges/Reminders on Reviews
1. Review Stepper Enhancements
There is now improved visual context for users on the reviews stepper home page. You will now see how you relate to the people you are reviewing, what the responsibilities are, and the sequence of actions taken within a review.
2. Slack Notification for Nudges/Reminders on Reviews
If you have the Reflektive Slack integration active, and are also using our Reviews product, you'll now see system Slack notifications for when reviewees are nudged by admins to complete their reviews, and for managers when direct reports submit their reviews. This increases the probability of users receiving notifications and thus performing necessary actions within a review cycle.
