We'll be going over new features, updates, and improvements to Reflektive below. These features and fixes are live as of 5/16/19. General Availability means that all accounts can enable and use the features immediately, and Beta means that the features are rolled out to a selection of willing participants first before it is ready for General Availability.
Organization Chart (General Availability)
Who does this affect?
Any customers who have the 1-on-1 Profiles feature enabled and want to the Organization chart turned on.
Why the update?
Organization changes can be frequent and complex, especially in smaller to medium sized businesses. Additionally, research shows that it is nearly impossible to know everyone in a company once it grows past 150 people. To help employees understand where they fit within a company and who they are having conversations with, an organization chart was a natural necessity.
If you have profiles and the Org chart feature is enabled, you will see a button under anyone's profile photo/name. Clicking on the link will open up a page that shows how this employee fits in a reporting line.
You will see the person's manager above them, and their direct reports below.
Clicking into a different person (in this case, Jim) will refresh the view and will display that person's manager and direct reports (if they have any.)
Note: There currently isn't an overall company view that shows every employee at the company.
Hyperlinking in Text Editor (General Availability)
Who does this affect?
Customers who have the new review survey form enabled will receive this enhancement; customers who aren't on the new survey form will not receive this feature.
Why the update?
This enhancement will allow hyperlinking to external documents within the text editor. This allows users to provide context and supporting material to their reviews. Note: HTML not required, a user will simply enter in a URL and the link will appear.
Live Calibration Enhancements (General Availability)
Who does this affect?
Administrators who already have access to the calibrating reviews will be able to enjoy these additional features.
Why the update?
The Live Calibration tool allows review administrators to make updates to employee review data on the fly. Three enhancements will be added with this release:
- Advanced Filtering: Admins can easily filter by column and by specific values/content to narrow down the field of search prior to calibrating
- Pre-Calibration Responses: Admins can now see before and after calibration choices
- Check-boxes at the Employee Level: Admins can keep track of which employees they have already calibrated
New Homepages & 1:1 Conversations (Beta)
Who does this affect?
Any customers using Real-Time Feedback who would like to enable this feature. Learn more here.
Why the update?
Currently, when users log into Reflektive, there isn't an aggregate view that informs the user on things they can be doing, or what they should be paying attention to. Unless there is explicit training provided, the lack of purpose upon entering the system can really have an impact on if employees end up using the system effectively. With the New Homepages experience, users will have a more guided experience, ensuring that actions stay on track and that no relationship is neglected.
If this feature is enabled for your company, the Home page would then direct you to the following view:
These are the possible prompts that can appear under "My Actions":
- You haven’t given feedback in 7 days
- You have a 1:1 with no open topics
- You have no active goals
- Your direct report has no active goals
- You have actions to complete in a review cycle (action per cycle)
1:1 Conversations are the main feedback vehicle for managers and employees. These are the ongoing 1:1s, as well as career growth conversations, and others. We wanted to put this at the forefront of a Reflektive user's experience in order to promote those healthy interactions.
Review Form Redesign + Goals within Reviews (Beta)
Who does this affect?
For the Review Form Redesign, any company using the Reviews platform will have access to turning this feature on, but the feature must be manually enabled by your Customer Success Manager.
For Goals within Reviews, any companies using the Goals platform will have access to turning this feature on as a beta, but the feature must be manually enabled by your Customer Success Manager. Learn more here.
Why the update?
Our classic reviews experience needed some updates in order to accommodate a number of usability concerns that our customers surfaced. Also, it was time for a face-lift in order to put it on par with all the Reflektive products! Here are some of the key things we've improved on:
- Users will know which questions are required and when they’ve made an error.
- Users will understand who will have visibility to their response.
- Users will notice an improved page layout and hierarchy.
E.g. We’ve given more space to Real-Time Feedback posts, moved peer responses to a collapsible side panel, and more. - We’ve reorganized Real-Time Feedback posts by date rather than hashtag, so there are no duplicate posts.
- Users will be able to navigate to a profile page by clicking on user’s avatar.
- Users will be able to focus on 1 question at a time and have the option to collapse the side panel.
- Users will be able to see the progress on their Objective Key Results (OKRs) without having to navigate to Goals
Current Experience
The page largely consists of static elements with copious amounts of scrolling. The side-rail only shows a limited amount of information that isn't specific to the question at hand.
New Experience
The form itself is cleaner and more dynamic eg: questions that you are working on are in focus while the others are grayed out. The submit/save buttons stay with you as you scroll through the other questions. The additional of Collected Responses provides a more targeted examples that sync up to the questions.
Additionally, we're adding visibility into Goals progress and ability to Update Goals within Reviews. Progress bars now appear under every Goal Question. Employees (not their managers at this time) can update their goal from their review survey and the changes will reflect on BOTH the review survey and the Goals page.
Clicking on the update icon will pop up a goals modal, which allows you to modify the goal on the fly.
Note: email notifications will behave as they are for goals today (editing will trigger notification for example).
Finally, Goal administrators will be able to target specific goals when creating reviews, giving them finer control on what employees are evaluated on, instead of importing ALL active goals at once, which may be unnecessary.
Goals Enhancements - UI Updates, Goal Status, Time Frame, and Owner (Beta)
Who does this affect?
All companies using the Goals platform will be eventually transitioned onto this platform by end of June. Learn more here.
Why the update?
After hearing some feedback from our customers on how our Goals Platform could be even better, we dug into it. We identified three themes:
- How do we help clients improve goal tracking and have better insights (e.g. what % of goals are completed)?
- How do we help users view the most relevant goals?
- How do we provide better flexibility in assigning goals when goal ownership changes?
From those themes, we were able to make a few enhancements. They are:
- UI update (for better overall usability)
- New Goal Statuses (shown below)
- Goals with Draft status are visible ONLY to the creator. The default settings are: Active and Draft.
- Start Date for Goals has been added for more accurate tracking.
- User Interface: Filter by Goal Status and Time Frame on the Goal Management page. Goal Filter default settings are Active + Draft goals, and All Time.
- User Interface: Re-assign Goal Owner.
Goals now will display their status. In the example below, we see that it's in "Draft", which is in yellow. Again, the other statuses that could appear are On Hold, Active, Archive, Complete, and Incomplete.
- Draft: Enables user to create a goal, and keep it private (not visible to anyone else) until the user is ready to make it ACTIVE. Not all mandatory fields are required to be filled out (until the user tries to make it ACTIVE)
- On Hold: Users can move goals to this status when the goal is relevant, but they are not working on it currently.
- Complete: Users can move goals to this status if they feel the goal is complete. Moving a goal to complete does not require the % progress to be at 100% b/c there are situations where the work is done, but progress is less than 100%.
- Incomplete: Users can move goals to this status if they are no longer working on the goal and the work was not deemed complete.
- Active and Archive will continue to exist. Users can keep goals in ACTIVE when they are working on them. Users can move goals to ARCHIVE when the goal is no longer relevant, and they are not working on it any more.
When creating or editing a goal, you'll see the new statuses appear under the "Status" dropdown box. Above that, you'll see a new selector field, "Start Date". Clicking into it loads a calendar selector interface, which behaves in the same way as the "Due Date" calendar selector.
Finding a specific goal got easier. The filtering tool allows you to filter by Goal Status and Time Frame.
Microsoft Teams (Beta)
Who does this affect?
Any customer using Microsoft teams can install/enable this feature. Learn how to do so here.
Why the update?
Many companies rely on the Microsoft productivity suite to get things done; Microsoft Teams is Microsoft’s answer to Slack and is one of the fastest growing software products in Microsoft's suite. For those customers using or planning to use Microsoft Teams, Reflektive now has built an integration that is currently focused on prepping for 1x1s and collecting and delivering feedback to peers or team members.
With the Microsoft Teams Reflektive integration, you can drive up to 3x more usage by using Real-Time Feedback directly within existing Microsoft Teams workflows. Like our other plugin options, you can send thanks, capture feedback, and prepare for 1:1 conversations.
Workday Packaged Connector (Beta)
Who does this affect?
Any customer who is currently using Workday and would like to be able to import additional/custom fields can enable this feature. Customers who are already using our existing Workday integration will have to make modifications on their end and then reconnect the integration to enjoy the enhancements.
Why the update?
Reflektive already has a Workday integration, but we went out to improve upon it. This updated integration allows you to add custom fields to the Workday Report end-point (RaaS), and Reflektive will be able to pull in these additional fields for storage or for analysis within our People Intelligence platform.
