Being able to measure your company's progress on check-ins and reviews helps you understand if your employees are receiving feedback.
To access Check-In/Review reports, you'll need administrative privileges. Once granted, click on the Admin tab located at the top right of the Reflektive Web App.
Next, click on Reports on the left-hand menu. After selecting Reviews as the report type, you can now select a specific report with the drop-down menu.
If you set up your HRIS system to send custom columns with data to Reflektive, you will be able to see that data in the below Check-In and Review reports.
We'll now go over each report type and how to interpret their results below.
Calibrations
This report allows you to view all question responses in a specific check-in or review cycle and alter drop-down or multiple choice question responses in bulk. This report will incorporate draft rating data.
Depending on how many employees and questions there are in the check-in or review cycle you have, this can be a large report.
You can preview this report in-app, and you can click "Email Full CSV Report" to ensure that you have the full data set.
To filter this data set, please click on gear icons next to each column header. Sample use case: you want to review the engineering department's scores to understand their score distribution.
Click "Download Current Results" if you need to export the filtered view of your results.
Additionally, you can click on any of the gear icons to reveal a data visualization option - you can transform the data into a bar graph or a pie chart (graphing option target release date 6/5/18).
If you email and download the full CSV report, open it up in Excel or another similar program.
Beyond your employee data fields (columns A - J), you'll begin to see answer responses. There are two methods for updating question ratings within the system.
All Review Feedback
This report pulls every piece of feedback submitted in the system, regardless of whether it has been delivered to the employee or not. This will not include any feedback in draft mode.
This report does not have a preview in-app, so you will have to email and download the full CSV report and open it up in Excel or another similar program.
This report breaks down who wrote the feedback, who the feedback is for, what type of feedback it is, what the question response was, and what comments (if the question had an optional or mandatory comment requirement) were added to it. If the review question was linked to a goal, you will see which goal it is about.
Review Completion Status
With this report, you'll be able to see how close to review completion your employees are. Use this report to determine which employees need a nudge to complete their reviews.

Employee Review Progress by Step
This report breaks down where each employee in the review or check-in cycle is with regards to completion of a particular step. This is most relevant for 360 reviews.
The column to pay special attention to is "employee_step". Here's what each step means
- Step 0 - Reviewers Not Selected = Employee has yet to select any feedback providers (only in a 360)
- Step 1 - Reviewers Selected = Employee has selected, but not submitted peer reviewers (only in a 360)
- Step 2 - Approve Reviewers = Manager needs to approve a Direct Report’s peer reviewers (only in a 360)
- Step 3 - Reviews in Progress = Employees are writing reviews
- Step 4 - Completed = Direct Report has received the released review from their Manager and can view their review report electronically; review is DONE
- Step 5 - Acknowledged = Direct Report has viewed their report electronically and clicked on the "acknowledge" dialog box option to confirm that they have reviewed their released report.

Review Scores by Department
This report aggregates scores by department and each row represents a department. If you’re not using any rating scale questions, this report will be blank.
- These results will be broken down by each competency (section header in the review report)
- The column overall_score indicates the average score of all the competencies
- The scores displayed do not include employees' self-scores

Review Scores by Employee
This report breaks down performance by each employee and each row represents an employee. If you’re not using any rating scale questions, this report will be blank.

Review Scores by Location

Total Review Assignments per Employee
This report shows the total number of reviews that a given employee has been asked to write (peer, self, manager, direct) - this report only displays reviews that still need to be completed. Each row represents a reviewer (aka a feedback provider), and you'll see the number of reviews the reviewer has been asked to write, along with the names of the people they've been asked to review.
You'll use this report to see how many reviews an employee has been asked to write. Knowing this information can help you decide whether it makes sense to adjust the review deadline.

Peer Review Assignments per Employee
This report shows how many peer reviews each employee has to write for that particular check-in or review cycle. If there are imbalances in peer review workload, administrators can work with the employee to balance their peer review workload.

Total Peers Reviewing Each Employee
This report shows how many peers are providing an employee with peer feedback, and will help you understand if each employee is receiving enough peer feedback.
Each row represents an employee participating in the review, and you can see the number of reviewers for this employee, along with the reviewers' names.

Declined Reviews
This report lists all the peer reviews that have been declined, along with any commentary. Use this report to see who has declined to write a peer review and understand if there are any thematic reasons for declining to be a peer reviewer.
You can preview this report in-app as long as there have been peers that have declined to be a peer reviewer. You can email and download the .csv file and open it up in Excel or another similar program.
